Step 1: Secure a Date & Location
- Lock in a date that works for your branch and team. Check out our current availability.
- Find a venue that accommodates your estimated number of attendees.
- Ideal venues include: Conference centers, Event spaces, Churches
- Ensure the venue has proper Audio/Visual capabilities. We’ll work with you to ensure the AV is dialed in.
- Screen & projector
- Audio connection from a laptop
- Wireless microphones
Step 2: Financial Considerations
Branch Responsibilities:
- Venue rental
- Food and beverage
- Books for attendees
- Service dog sponsorship (initiative)
AWI Contributions:
- Pays for upfront costs (venue, food, etc.)
- Ensures all contracts are reviewed and approved
Ways to Offset Costs:
- Registration Fees (Typically $25-$35 per person)
- Sponsorship Opportunities (various levels available)
Step 3: Sponsorships
- Businesses and individuals can support the event through sponsorship.
- Find sponsors to cover food/drink.
- Sponsors love to be a part of events that do great things for veterans.
Step 4: Marketing & Promotion
- We’ll provide you with marketing materials to help promote your event:
- Save the Date graphics
- Registration website
- Flyers & QR codes
- Social media marketing materials (including Instagram Reels)
- Clickable email banners
- Access all marketing assets in the Jumpshare Marketing Folder
Step 5: Event Logistics
- Provide coffee, water, and snacks throughout the morning.
- Offer a box lunch for attendees.
- If possible, arrange a Color Guard Presentation, including:
- National Anthem
- Pledge of Allegiance
- Display of the American flag
Step 6: Preparing for Event Day
- Items shipped in advance:
- Red Friday Shirts
- Speaker books
- AWI banners, tablecloths, and signage
- Social media and survey cards
- Typical Schedule: (3 hour CE)
- 8:00-9:00am: Registration and networking
- 9:00am: Opening remarks and speaker sessions
- 12:00pm: Service dog presentation
